Program Questions

48 Hour OWI
Check in is between 4:30 and 5:30. During check in, students will be subjected to a breathalyzer and luggage search. Meals for the weekend will be catered in but if the student would like to bring extra snacks and drinks they can they just have to be in the original container unopened. Cells phones are not permitted, if the student brings a cell phone it will be confiscated and they will get back at check out. Students can bring a laptop, IPod, IPad but will not get the wireless access code and we are not held responsible for lost, stolen, or broken items due to rooming with other adults.

90 Hour Food Service
Person serving as a director of food and nutrition service must be a certified dietary manager, certified food service manager, have a certification for food service management and safety, or have an associate’s degree or higher in food service management or hospitality.
Individuals hired as director of food service after November 28, 2016, must meet one of the above designations no later than November 28, 2017, anyone hired on or after November 28, 2017 must meet those requirements when hired. Individuals hired prior to November 28, 2016, have five years to meet the designation.

Kirkwood does not have the CDM exam, if someone wanted to take the exam that they would need to go to www.cbdmonline.org.

AWS Testing
Someone that is looking to take the AWS test without a class have them contact Ana Gilbertson 319-398-4983 ana.gilbertson@kirkwood.edu or Sean Brown at 319-398-5816. These two would also be the contact for AWS testing results.

Does one have to do recertification for the AWS Welding? If so, how long does the certification last?
The certificate from AWS is good for 6 months.  They have to be working as a welder to renew without having to take the test again.

Bus Driver
  • New Bus Drivers must attend an online STOP class prior to attending a classroom portion. Online portion can be taken anytime. Online codes are obtained by sending in a sponsorship billing form to Katie who then sends out the code.  For technical support students can call 1-800-261-6248.
    • If the student is not being sponsored by a school they will need to send in a registration form with check or credit card information before they can be sent the stop code.
  • Current bus drivers attend an annual 3 hour in-service class.
    • Transportation directors are normally notified from Michelle of upcoming classes for the year. Any sponsorship billing forms faxed in prior to the classes are given to Katie to file along with the STOP SB forms.  Michelle will take these SB forms to the class and then Jerilyn will process billings once packet is returned from completed class.

Professional Development Certificate Attendance Policy
Up to 4 days can be missed before needing to pay to retake the missed classes. They can miss 1 day without needing to do a makeup. The remaining 3 days can be made up at no additional charge, and they need to only attend the class night that was missed. - Make Up date selection will be approved by Erin.

Driver Education

Linn County Regional Center:
School Year/Summer: Open to anyone. No free/reduced lunch. Normal phone-in registration process.

Linn Mar School District:
School Year: Not offered at Linn Mar, can attend "open to anyone" classes.
Summer: Only for Linn Mar students. Will accept free/reduced. Registration forms are mailed from Kirkwood in January. Forms available at high school main office or Michelle can mail form. Registrations need to be mailed in to Program Developer. Program Developer finds out from School District the free/reduced students. Program Developer delivers this information to Operations for registration. Reduced lunch students will pay 50%.

Iowa City School District:
School Year: Iowa City School District Students only. Will accept free/reduced lunch. All registrations go through their guidance office, not Kirkwood. Teacher will give Information Sheets and money to Program Developer. Program Developer finds out from School District the free/reduced students. Program Developer delivers this information to Operations for registration.
Summer: No summer classes
 
Cedar Rapids School District (Kennedy, Jefferson and Washington):
School Year: Cedar Rapids School District Students only. Will accept free/reduced lunch. Registrations go through their guidance office, not Kirkwood. Teacher will give Information Sheets and money to Program Developer. Program Developer finds out from School District the free/reduced students. Program Developer delivers this information to Operations for registration.
Summer: Open to anyone. Cannot accept free/reduced lunch for summer classes. Kirkwood does registration through normal phone-in.

Xavier: They can take an open enrollment class or contact Terry Smith with Cedar Rapids School District for approval to register for a Cedar Rapids School District class. Contact phone number 319-558-2000.

College Community School District (Prairie):
School Year  & Summer: Will accept free/reduced lunch. All registrations go through their guidance office, not Kirkwood. Teacher will give Information Sheets and money to Program Developer. Program Developer finds out from School District the free/reduced students. Program Developer delivers this information to Operations for registration.

Ed2Go
Students must register through www.ed2go.com/kirkwood. If students have questions about Ed2Go classes they can go to www.ed2go.com and submit a question on the help tab. Certificates are issued to students through Ed2Go, not Kirkwood.

Nurse Aide

Talon

Classes or exams through Talon have (online) behind the class name and it is noted in the internal comments.  For open ended classes that do not have a specific start & end date, the students log in information will be emailed to them approximately 1 hour after registration.  For classes that do have a specific start and end date, the students log in information will be sent to them via email approximately 24 hours prior to the start date of the class.  If they register after the class has started this information will be emailed approximately 1 hour after registration.  The email subject line for this communication will be (class name) class log in information. (IE: Ethics and Theory of Coaching (online) class log in information).  The student’s username will always be their lumens ID number.  

Password reset requests for Talon will need to go through Katie or Jerilyn (Megan is back-up). 

UGotClass
These classes have (online) behind the name.  Special Notice states: For technical or log in questions about these courses, students should contact UGotClass at info@ugotclass.org or 855-846-8252.

Environmental Training (Water/Wastewater)
  • Getting questions about “what do I need to take”?
    • If they were just hired by a city they need to take a 30 hour Basic Training Course, if they need Recertification credits they should know how many hours they need and what license they have.  You can look up classes that fall under there licensure (Wastewater, Water Distribution, Water Treatment).
  • How the self-study class’s work in terms of what is in the packet, what they will need to do, exams, etc.?
    •  This can be answered on page 5 of the CET brochure and PDF provided. 
  • Login for exams
    • ETONLINE student - they need to contact the Partner that they paid their money too to get a final exam password.
    • Credit student - they need to contact their credit instructor for this information.

Certificate and Transcript Requests
 
We can release “degrees, diplomas, certificates and awards (dean’s list, etc.)” without consent.  So, as long as you award a certificate for completion, then you can release the fact that the student earned that particular certificate without their consent.  Then you would respond to inquiries that either “yes, the student completed the (name of certificate)” or “we don’t have a record of the student completing the (name of certificate).”   We cannot say that a student did not complete a program, only that we do not have a record of them completing that certificate/program.

Releasing student information to anyone other than the student

General Transcript or certificate requests, email Katie, Cindy Toni, Jerilyn, Cathy, and Janice.
Requests for classes completed prior to 2010 (Colleague or Legacy) will only be a transcript, we cannot produce a certificate.
  • Legacy – Anything before August 2005
  • Colleague: August 2005 - February 2010
  • Lumens: February 2010 - present day
NOTE: You can print Colleague and Lumens data together on one transcript by using CEMS.  Legacy will have to be a separate printout.

Clerk of court - It is the students responsibility to get completion filed online with the court system. They can either give it to their attorney or public defender to e-file (make sure to keep a copy for themselves). Or they can go to the courthouse of the county they were arrested and they have machines set up for the public to scan their own documents.

DOT - Class completion is electronically submitted to the DOT, it cannot be a certificate from the student. If I student has questions about a DOT situation, ask Janice.

CDL -   
  • Class A CDL Certificates (with PTDI Seal): Email request to Roxanne
  • Class B CDL Certificate: Email request to Katie, Cindy Toni, Jerilyn, Cathy, and Janice.  Certificates created in CEMS.
  • Company Verification: Company must submit requests through www.tenstreet.com.  An email notification is then sent to contactce for completion. If you have questions, contact Cathy or Jerilyn.

Coaching – Email request to Katie, Cindy Toni, Jerilyn, Cathy, and Janice.
We only provide transcripts; please clarify when talking to the student. If asking about certification completion through state let them know it can take up to 6 weeks for state processing, they can visit www.boee.iowa.gov and search for a license to verify if packet has been processed.  Applicants under 20 years old will need to upload a copy of their high school diploma as a required transcript into the online application with the BOEE.

Seminar – Students are required to upload an electronic version of their transcript to the BOEE's online application system (this online application is started in class).  Students will be emailed a copy of their transcript within 1 week after the class end date.

There is a $20.00 fee for a duplicate certificate, payable before the certificate is reissued. If they want to pay the $20 with CC we will transfer them over to Kari to pay and they can email the request. If they want to pay with cash, they need to go to the simulation center with request and if they have check they can mail it with the written request or bring to the simulation center. Please allow up to 2-weeks for a duplicate certificate to be received.

After successful completion of a motorcycle course students receive a DOT certificate and a MSF card.  If a student is requesting a duplicate, specify which one is needed. The DOT will only accept the original DOT certificate, it cannot be faxed, or emailed. Direct duplicate  requests to Janice.  Student will be contacted when certificate is ready for pick-up.

If class is 10 years or older only a transcript will be provided at no charge.

General FAQ's

Student needing accommodations
If a student request accommodations, they will need to fill out this form CE Accommodations Form and return it to Learning Services as directed on the form.  Learning Services will determine eligibility and scan the form to ContactCE where operations will share with the program director.  Program director will contact the instructor, Learning Services will contact the student.
Interpreters are not covered under this accommodations policy and will need to be arranged for by the student. 
This form needs to be completed for each Continuing Education class or exam the student takes.

529 College Savings accounts for continuing education classes – The student can request a check is sent to Kirkwood, we would contact them when we receive the payment.
