Coaching Authorization and Re-certification

Authorization vs. Renewal
The 55-Hour Coaching Authorization Seminar is only needed for students working towards their coaching license for the first time. If the student has at any time in the past, even over the five year expiration period, held a coaching license, they would need to complete the five renewal activities instead. You can view this list of activities here. If students are unsure if they have held a coaching license in the past, they can use the license checker through the BOEE.

Extension
OPS can grant a student a 15-day extension automatically upon their first request. We do not need to refer to Matt Murphy or Josh Troutman if it is their first inquiry. If they would like an additional extension past this, then the requests need to go to Matt Murphy.

Environmental Training (Water/Wastewater)
  • Getting questions about “what classes to take”?
    • If they were just hired by a city they need to take a 30 hour Basic Training Course.
    • If they need Recertification credits they should know how many hours they need and what license they have.  You can look up classes that fall under there licensure (Wastewater, Water Distribution, Water Treatment).
  • How the self-study class’s work in terms of what is in the packet, what they will need to do, exams, etc.?
    •  This can be answered in the CET brochure and PDF provided. 
  • Exam
    • ETONLINE student - they need to contact the Partner that they paid their money to get a final exam password.
    • Credit student - they need to contact their credit instructor for this information.

These certificates do not expire. Employees will be retrained in the new medications each time they move facilities.

AWS Testing
Someone that is looking to take the AWS test without a class have them contact Zach Johnson 319-398-5632 Zachary.Johnson@kirkwood.edu. Zach is also the contact for AWS testing results.

Does one have to do recertification for the AWS Welding? If so, how long does the certification last?
The certificate from AWS is good for 6 months.  They have to be working as a welder to renew without having to take the test again.

KICK Ages:
As a general rule, a camper will need to be the age required of the camp before September 15th. 
For example, if the age range is 12-15 and the camp runs in June, but a possible camper turns 12 in 
August they would be able to register for the June camp for that age range. All other circumstances should 
be approved by the Program Developer.

  • For open ended classes that do not have a specific start & end date, the students log in information will be emailed to them approximately 1 hour after registration.  
  • For classes that do have a specific start and end date, the students log in information will be sent to them via email approximately 24 hours prior to the start date of the class, unless note otherwise.
    • If they register after the class has started this information will be emailed approximately 1 hour after registration.  
The email subject line for this communication will be (class name) class log in information. (IE: Ethics and Theory of Coaching (online) class log in information).  The student’s username will always be their lumens ID number.

Public Defender
Students wanting to register with a public defender discount, should have their attorney fax in their paperwork to Kirkwood.  Once received OPS staff will save the document to KIN (Operations Folder > OWI Public Defender Forms > File by the first letter of the students last name).  When saving the paperwork to KIN save with the convention of last name, first name.  Once a student calls to register, move the public defender paperwork to the Students registered folder for Programmer to view.  Programmer will clean out the folder yearly.

Transportation:

Bus Driver
  • New Bus Drivers must attend an online STOP class prior to attending a classroom portion. Online portion can be taken anytime. Online codes are obtained by sending in a sponsorship billing form to Riley who then emails the code.  For technical support students can call 1-800-261-6248.
    • If the student is not being sponsored by a school, they will need to send in a registration form with check or credit card information before they can be sent the stop code.
  • Current bus drivers attend an annual 3-hour in-service class.
    • Any sponsorship billing forms received for the open enrollment offerings can be processed and given to Riley for billing. For any contract training offerings, packets are sent to Jerilyn after class completion. Registrations, class processing, and billing are completed at that time.

  • Application will then go through an approval process through the student’s school district and the school district will determine required fees (ie pay in full, no fee, or free/reduced lunch discounted fee)
  • Student’s school district will notify Kirkwood of required tuition fee and CE staff will contact student within 5 business days for registration.  Payment is due at the time of registration
If student has no associated school district he/she should select “other” on the application. Questions or concerns about fees should be directed to the school district directly.

Releasing student information to anyone other than the student
We cannot release physical copies of  the following without a signed release from the student, Release of Information Request (FERPA) form
- Certificates
- Transcripts
- Certification cards or badges
- Progress reports of how a student is doing in a program

General Transcript or certificate requests, email Contactops@kirkwood.edu.
Requests for classes completed prior to 2010 (Colleague or Legacy) will only be a transcript, we cannot produce a certificate.
  • Legacy: Anything before August 2005
  • Colleague: August 2005 - February 2010
  • Lumens: February 2010 - present day
NOTE: You can print Colleague and Lumens data together on one transcript by using CEMS.  Legacy will have to be a separate printout.

Attention: All duplicate certificate requests will require a $15 fee - Use Misc Charge (139497) in Lumens to collect fee.

When an instructor calls requesting verification of their student’s claimed cards, we will email the instructor the instructions below.  OPS will not look up entire classes or verify students for the instructor.  If the instructor has difficulties or pushes back after the directions were sent, we can assist or connect that instructor with the Program Developer.

Student Requests
Students who attend American Heart Association (AHA) classes receive a completion card.  These cards are emailed to students (from eCards@heart.org) after the class is completed; however, students sometimes need a duplicate.  If a duplicate is needed, we will email those at no charge.  Instructions are in the SOP document.

Coaching – Email ContactOps 
We only provide transcripts; please clarify when talking to the student. If asking about certification completion through state let them know it can take up to 6 weeks for state processing, they can visit www.boee.iowa.gov and search for a license to verify if packet has been processed.  Applicants under 20 years old will need to upload a copy of their high school diploma as a required transcript into the online application with the BOEE.

Students are required to upload an electronic version of their transcript to the BOEE's online application system.  Students will be emailed a copy of their transcript 3-4 days after they complete the class. 
 
Driver's Education 
Class Completion is electronically submitted to the DOT (the DOT will not accept certificates from the student).  Direct questions regarding a DOT situation to Jerilyn. Anyone can provide a CEMS certificate if needing for insurance purposes (DOT will not accept). 
 
Moped – Email request to Roxann Foley (or Janice if Roxann is gone).
The DOT will only accept the original DOT certificate, it cannot be faxed, or emailed. Direct duplicate certificate requests to Roxann.  Student will be contacted when certificate is ready for pick-up.  
 
Motorcycle – Email request to Roxann Foley (or Janice if Roxann is gone).
After successful completion of a motorcycle course students receive a DOT certificate and a MSF card.  If a student is requesting a duplicate, specify which one is needed. The DOT will only accept the original DOT certificate, it cannot be faxed, or emailed. Inform student these requests could take up to 2 weeks to process. Student will be contacted when certificate is ready for pick-up.

Include the following in email request:
  • Student Name, Address & Phone Number
  • Specify which the student is needing, DOT Cert or MSF Card
  • Specify if student will pick up or wants it mailed
 
12 Hour OWI 
Clerk of court - It is the students responsibility to get completion filed online with the court system. They can either give it to their attorney or public defender to e-file (make sure to keep a copy for themselves) or they can go to the courthouse of the county they were arrested and they have machines set up for the public to scan their own documents. If a duplicate certificate is needed, please send request to ContactOps.

48 hour OWI 
Clerk of court - When a student registers they must provide their court case file number. After the class is complete Jerilyn (or Kaitie) submits completion online if they have provided to court case file number. If a number is not provided it is the student’s responsibility to get completion filed online with the court system. They can either give it to their attorney or public defender to e-file (make sure to keep a copy for themselves) or they can go to the courthouse of the county they were arrested and they have machines set up for the public to scan their own documents. If a duplicate certificate is needed, please send request to ContactOps.

Driver Improvement 
Class completion is electronically submitted to the DOT. 

CDL -   
  • Class A CDL Certificates (with PTDI Seal): Email request to Roxann
  • Class B CDL Certificate: Email request to ContactOps.
  • Company Verification: Company must submit requests through www.tenstreet.com.  An email notification is then sent to Roxann for completion.

Forklift card - Contact Roxann Foley, only valid for 3 years.

OSHA Card - Contact Roxann Foley, $25 fee.

COSS Certificate - Certificates are handed out at the end of class in a wooden plaque that is provided from COSS. If students are inquiring about a copy of their certificate they will need to reach out to Alliance Safety Council. https://alliancesafetycouncil.org/
 
Refund/Transfer Appeal 
If a student wants to dispute this policy they will be sent a link to the appeals form. Submissions will come into contactce@kirkwood.edu for processing. Operations will take appropriate action based on what the Executive Leadership team has decided to be reasons for a transfer or drop.

Our policy states that requests must be made at least two business days prior to the start date of the class.

529 College Savings Accounts For continuing education classes – The student can request a check be sent to Kirkwood, we would contact them when we receive the payment.
 
Deceased Students Profile
If notified of a student being deceased, the profile should remain active and the following steps should be completed:
1.) Email Katie (Marketing) the name of the student, address, and email address
2.) Edit the student's profile:
- Remove student's email from his or her profile
- Changing the mailing preference to "no"  
- Add an internal comment on the profile noting "deceased," and note today's date and your initials
3.) Add student to the Do Not Mail list on Kin
 
Continuing Education Staff Benefits:
Continuing Education benefit for full-time employees is $1000 per fiscal year (July 1 – June 30). Part-time/Adjunct/CFA/Career Academy employees may take two classes (either two credit (up to 3 credit hours per class); two continuing education classes – limited to $200 per class; or one of each (up to 3 credit hours) per fiscal year. Children of employees are able to register for KICK camps offered through CE using their parent/guardian’s fiscal year benefit.

Class Registration for Continuing Education Classes (FT, PT, Retirees)

Mandatory Reporting Training: 
Due to new government regulations, Kirkwood Continuing Education will no longer be offering Mandatory Reporting Trainings.  As of July 1, 2019, The Iowa Department of Human Services has taken over responsibilities for the Mandatory Reporting Trainings and all trainings will be online with no cost.  This is the ONLY approved training in the state. Any Mandatory reporting class taken through Kirkwood prior to July 1, 2019 will still be valid and will be valid for five years following its issuance. 
 
Media Requests & Press releases: Justin Hoehn 398-7781, Marketing

Lead Abatement Contractor or Lead inspector/Risk Assessor Testing: Students call the Test Center to set up an appointment to take any of these state tests. They need to bring $65 in the form of a check or money order to the Test Center. Credit cards are not accepted. The Test Center will send test and payment to Toni for an after-the-fact registration and test scoring. Toni sends scores to the State and notifies the student of a pass or fail.
 
Dental Vouchers: The dental vouchers are used by our Career Academy Partnerships (aka CFA).  This is a special process to give our partners free CE classes, much like CE Benefit Dollars.  These voucher forms can be found through Kristee Malmberg (319-398-5560 or kristee.malmberg@kirkwood.edu).  Once the voucher form has been completed, it should be returned to HR. HR will then approve the voucher form and she will submit a CE Benefit Request.  The request will then be submitted to Paige (just like for all other employees).
 
Student Accommodations
If a student request accommodations, they will need to fill out this form CE Accommodations Form and return it to Learning Services as directed on the form.  Learning Services will determine eligibility and scan the form to ContactCE where operations will share with the program director.  Program director will contact the instructor, Learning Services will contact the student.
Interpreters are not covered under this accommodations policy and will need to be arranged for by the student. This form needs to be completed for each Continuing Education class or exam the student takes.
